Taitara Mahi - Kairuruku Huihuinga - Events Coordinator

Toitoi’s vision is to be the most vibrant and significant arts, culture and events facility in New Zealand. We are looking for an Event Coordinator, to work directly with Toitoi clients to coordinate and deliver their events, ensuring consistent high-level service delivery and excellence in customer service. The Event Coordinator will be responsible for rostering all event staff including Front of House and Bar staff while also developing relationships with clients to increase occupancy with customers and stakeholders.
This position requires a high standard in communication, multi-tasking, empathy and customer service skills together with a keen eye for detail.
Your day-to-day duties will include:
- Operating in conjunction with the Events Manager to ensure every event is well planned and all necessary requirements, resources and documentation are pre-arranged and checked.
- Rostering Event Crew for Bar shifts, Theatre and Corporate Events including on-shift Front of House management.
- Ensure high-quality customer service and positive client experiences
- Coordinate event services, catering and stakeholder communication
- Build strong relationships with clients, contractors and internal teams
- Support continuous improvement of event delivery, systems and customer satisfaction
- Assist with venue hire, bar and catering revenue opportunities

To be successful in this role, you will have:
- Experience working within the Events space
- A positive, customer-first approach when working with clients and stakeholders
- Strong organisation skills and the ability to juggle multiple tasks
- Confidence coordinating events and keeping things running smoothly
- Good written and verbal communication skills
- Comfortable using Microsoft Office and learning new systems
- Experience creating great customer experiences
- Understanding of venue bookings or event processes is a bonus
- Experience with Momentus software would be helpful, but training can be provided
- Knowledge of food and beverage operations or bar service would be an advantage
