Taitara Mahi - Programme Reporting Coordinator
Fixed-Term Full-Time (18 months)

We are looking for a Programme Reporting Coordinator to join our Programme Delivery Office (PDO) within the Infrastructure Group at Hastings District Council.

This is a key role responsible for coordinating and delivering programme-wide reporting across our infrastructure portfolio. You will ensure the right information flows to the right people at the right time — supporting leadership, governance, funders, and assurance activities.

You will also contribute to improving reporting tools and systems, including Power BI and InEight, to reduce manual effort and strengthen confidence in reported information.

Working closely with delivery teams, finance, and programme controls, you will bring structure, discipline and clarity to reporting processes. You will coordinate inputs, validate information, and produce clear, consistent reporting that enables informed decision-making and builds confidence in delivery performance.

This is a hands-on coordination role with a strong focus on:

  • Managing reporting cycles and forward planning
  • Improving templates, standards, and reporting practices
  • Supporting reporting to Council, committees, and external funders
  • Ensuring reporting is accurate, timely, and audit-ready

You will also play an important part in strengthening how reporting operates over time — identifying practical improvements, reducing duplication, and supporting better use of systems and tools.

To be successful in this role, you will:

  • Bring experience in programme, project, or portfolio reporting, coordination, or PMO/PDO environments
  • Be confident working with structured reporting templates and data (financials, schedules, risks)
  • Have strong Excel skills and experience with reporting tools such as Power BI (or similar)
  • Be highly organised, with the ability to manage timelines, follow up inputs, and meet deadlines
  • Have strong attention to detail and a focus on data quality and consistency
  • Be able to translate complex information into clear, concise reporting for a range of audiences
  • Build effective working relationships across teams and functions
  • Be proactive, with a continuous improvement mindset
